# Renting Your House to a Company as Staff Housing: Contracts, Invoices, and Tax

Vorneo Property · [Selling & Renting](https://vorneo.id/en/artikel/topik/jual-sewa/) · 2026-10-25

In many Kalimantan towns, contractors, mining firms, logistics companies, and infrastructure projects are regularly looking for houses to use as staff housing, known locally as a mess. For an owner, a corporate tenant sounds appealing: steadier payments, a formal contract, and often rent paid in advance for a long stretch. But renting to a business is different from renting to a family. There are more occupants, they rotate, and the paperwork is more formal. This article covers what to sort out before you say yes.

## Why Companies Rent Houses for Staff

Renting is faster and cheaper than building a dormitory, especially for projects with an end date. One house can hold several employees, field staff, or visitors from head office who come and go. Companies usually look for places near their office, the project site, or a main road.

For the owner it can mean steady income. Keep in mind, though, that a company's needs follow its projects. When a project wraps up or the company loses its client contract, several messes can be released at once. In towns whose economy leans on one or two big employers, that swing can be felt. We look at this in [property in mining towns](/en/artikel/properti-kota-tambang/).

## Who You Are Actually Contracting With

Your tenant is the company, not the employees sleeping in the house. So the lease must be in the company's name and signed by someone with authority.

Ask for:

- **Company details.** Registered name, address, business registration number (Nomor Induk Berusaha, NIB), and tax number (NPWP).
- **Proof of signing authority.** If the signer is not a director, ask for a power of attorney from the directors.
- **A day-to-day contact.** The name and number of someone in general affairs or HR you can reach about repairs, visitors, or neighbour complaints.
- **A list of occupants.** The company should tell you who lives there and register them with the neighbourhood head (RT), as is the custom locally.

## Lease Clauses That Need More Detail

A corporate lease needs a few clauses you rarely see in an ordinary rental. The basics are in [what to put in a lease agreement](/en/artikel/isi-surat-perjanjian-sewa/). For a mess, add:

1. **Maximum occupants.** A three-bedroom house with ten people in it wears out fast and can annoy the neighbours.
2. **Permitted use.** State that the house is for living in only, not for storing equipment, a workshop, or a site office, unless you agree and the rent reflects it.
3. **Vehicle parking.** Operational cars or heavy vehicles can damage the carport, the gate, and the estate road.
4. **Who pays what.** Electricity, water, estate fees, rubbish collection, and internet. Usually the tenant, but write it down.
5. **Repairs.** Separate small repairs from everyday use, which the tenant covers, from structural or roof problems, which the owner covers.
6. **Early termination.** Whether the company may leave before the term ends, the notice period, and what happens to prepaid rent.
7. **Renewal and rent increases.** When the company must tell you it wants to renew, and how the new rent is set.

## Expect More Wear

A house shared by several adults on shift patterns wears faster. Doors open and shut more, bathrooms get heavier use, and the water pump works harder. Factor this into the rent and set some of the income aside for upkeep.

What helps:

- **An inventory and condition photos** at handover, signed by both sides. That is your reference when the house comes back.
- **A security deposit.** Some companies are reluctant to pay one. If so, write in that the cost of repairing damage beyond fair wear will be billed at final handover. More on this in [rental security deposits](/en/artikel/uang-jaminan-sewa-rumah/).
- **Regular inspections.** Agree on visits every few months, with notice to the company contact.

On price, a furnished house used this intensively can often command a bit more rent. How to weigh it is covered in [setting the right rent](/en/artikel/menentukan-harga-sewa/).

## Invoices and How Companies Pay

Companies rarely pay just because you sent a message. Their finance teams need documents. Have these ready:

- **An invoice** addressed to the company, showing the property address, rental period, amount, and bank account.
- **A receipt** once the money arrives, with stamp duty (bea meterai) as required.
- **A copy of the lease and the owner's ID** if they ask for their records.
- **Your own tax number (NPWP)**, which is often needed for the tax withholding.

Ask at the start how long payment takes after an invoice is submitted. Many companies pay on set cycles, so the money will not land the same day. Put a due date in the lease so you have something to point to if payment runs late.

## Tax on the Rent

Income from renting out land and buildings in Indonesia is subject to final income tax (PPh final). When the tenant is a company appointed as a tax withholder, it is usually the company that deducts the tax from your rent, pays it to the state, and gives you a withholding slip. So the amount reaching your account can be smaller than the figure in the lease.

To avoid misunderstandings, state clearly whether the rent includes the tax or not. Keep every withholding slip for your annual tax return. For current rates and reporting rules, ask the tax office or a tax consultant. The general picture is in [income tax on rental property](/en/artikel/pajak-penghasilan-sewa/).

## Keep the Neighbours on Side

A busy mess can change the feel of a street: more vehicles, people coming and going on shift hours, sometimes noise late at night. Introduce the company contact to the RT head and give the occupants a few ground rules. Neighbour complaints left to fester can end with a request that the mess move out, which hurts both you and the company.

## Wrapping Up

Renting your house as staff housing can bring steady income, as long as the lease is detailed, the condition is recorded at the start, and you understand invoicing and tax before the first payment arrives. Plan for the chance that the company leaves when its project ends. If you have a house in South Kalimantan to rent out and want a view on pricing or tenants, the Vorneo Property team can help.

## Common Questions

### Who should sign the lease on the company's side?

Someone authorised to represent the company under its articles of association, usually a director, or an employee holding a power of attorney from the directors. Ask for a copy of that authority and attach it to the lease.

### Will the company deduct tax from my rent?

Often, yes. A company appointed as a tax withholder usually deducts final income tax on land and building rent and gives you a withholding slip. Make sure the lease says whether the rent includes that tax or not, and check the current rate with the tax office or a tax consultant.

### What happens if the company's project ends before the lease does?

That depends on the lease. Write down whether the company may end early, how much notice it must give, and whether prepaid rent is refunded. Without that clause, disputes come easily.
